Automatic lead follow-ups

Movra can follow up with your leads for you on WhatsApp: it confirms their trial booking, reminds them before the class, checks in afterwards, and invites them back if they miss it. While it runs, your lead board moves on its own — a booking puts the lead in Booked, attending moves them to Attended, and buying one of the offers you mark as a customer offer moves them to Customer.

You set it up and switch it on yourself in Settings → Funnel (the Automations item in the sidebar opens it too). Only the studio owner and admins can see that screen.

Before you start

  • A connected MindBody account. The follow-ups react to bookings, attendance and purchases in MindBody. Without it, the board and your own manual moves still work, but the automatic follow-ups stay off.
  • Your offers imported. Movra reads your pricing options from MindBody (Settings → What we offer). You'll pick from them below.
  • A connected WhatsApp number. The messages go out from your studio's WhatsApp Business account.

1. Set up your journey

Open Settings → Funnel and choose Set up my journey. Movra adds a ready-made set of steps, all switched off:

  • a payment reminder when a payment link is sent but not paid,
  • a booking confirmation,
  • a reminder the day before and a few hours before the class,
  • a follow-up question after the class,
  • a "want to rebook?" message after a no-show,
  • and a step that moves a buyer to Customer.

Nothing is sent until you switch the steps on and turn the funnel on.

2. Choose your offers

Tell Movra which of your offers are intro / trial offers. The journey only messages people who book one of these or are sent a payment link for one, so your regular members never get trial messages.

Optionally, choose the offers that make someone a customer — a membership or a class pack. When a lead buys one of these, their card moves to Customer.

If you have more than 100 offers, use the search box to find the rest. An offer you've archived in MindBody is removed from your selection when you save.

3. Submit your messages to WhatsApp

WhatsApp only lets businesses send pre-approved messages outside a conversation. The journey comes with a set of messages written to WhatsApp's rules — you can edit any of them first, as long as you keep the {{1}}-style placeholders in the same order (they're filled in with the person's class, time and so on).

Choose Submit to Meta. Meta reviews each message, usually within 24 hours, and its status updates on the screen by itself. A step can only send once its message is approved. If Meta rejects one, open Templates in the sidebar to see why and edit it there.

4. Switch on the steps you want, then turn it on

Switch on the steps you want to use. Each step can be edited: when it happens, which offers it's for, which message it sends and how long before or after, what stops it (for example, "don't send the reminder if they cancel"), and which board stage the lead moves to. You can also add your own steps, copy one, or archive a step you don't need.

When the checklist at the top of the screen is all green, choose Turn on. Movra checks your messages with WhatsApp one last time, reads your recent bookings, and starts within a few minutes. You can turn it off at any moment — it stops straight away.

While it's running

  • Your board moves by itself for the journey's leads. You and your team can still drag any card at any time — if you move a card yourself, the automation won't undo your move (a later event, like the person attending, can still move it on).
  • On each lead's card, owners and admins can see what the automation did: what was scheduled, sent, or not sent, and why in plain words — for example, "this person opted out of automated messages" or "the class was cancelled".
  • The last 7 days on the Funnel screen shows how many messages were sent, how many failed, and why the others were not sent.
  • The no-show delay sets how long after a missed class the follow-up goes out (15 minutes to 4 hours; 1 hour by default).
  • The holding message is what a customer gets if their payment went through but the booking couldn't be made automatically — so they always hear back. If you haven't chosen one yet, submitting your messages makes the ready-made payment-received message your holding message (a message you already chose stays); you can change it under Payment received, booking pending on the Funnel screen.

Editing while it's on

Changes apply to messages scheduled from then on. A message already scheduled keeps the step as it was — except that if you edit the message's wording, it's skipped rather than sent with the old text. If you switch a step off or archive it, its scheduled messages are skipped.

Questions

Why didn't someone get a message? Open their card and look at the automation section. It shows each planned message and, if it wasn't sent, the reason.

Can I stop it for one person? Pause the AI on their chat and their follow-ups are skipped while you're handling the conversation. Anyone who opts out never gets automated follow-ups. To stop the journey for everyone, turn the funnel off.

Does it work without MindBody? Not yet. The board and manual moves work, but automatic follow-ups need a connected MindBody account.
